Verification of Seafarer Certificates: Features, Methods, and Steps

Verification of Seafarer Certificates: Features, Methods, and Steps

Periodic verification of seafarer certificates is an essential requirement for a successful career in shipping. Working on a maritime vessel is highly specialized and impossible to perform without professional knowledge and necessary skills. Therefore, both employer companies and major ports require confirmation of the legitimacy of documents provided by applicants. This helps verify the authenticity of claimed experience, filter out fraudsters, and avoid many serious problems.

What Does Maritime Certificate Verification Involve

The need for maritime certificate verification is mandated by current Ukrainian legislation. Therefore, the process of official authenticity confirmation is not a mere formality. It is an important step that opens opportunities for signing lucrative employment contracts, joining international crews, and stable work without fines or risk of criminal liability.

Only one authority in Ukraine has the power to conduct verification of maritime documents — the Shipping Administration.

Main Documents That May Require Verification

Seafarer's Diploma and Endorsement

Verification of the seafarer's diploma and endorsements confirming completion of advanced training courses.

Medical Certificate

Issued after passing a maritime medical examination at specialized clinics. Usually requires renewal every 12 months.

STCW Certificate

Verification of the STCW certificate — a mandatory international document confirming that the seafarer possesses skills in firefighting, first aid, personal safety, and survival at sea.

Seafarer's Passport

An identity document issued for 5 years.

Seafarer's Service Book

Similar to an employment record book, documenting each contract, position, completed training, and number of watch days. Service records must be updated regularly.

Tanker Documentation

Special certifications required for working on tankers.

Main Methods of Maritime Document Verification

To confirm your qualifications through diploma and certificate legalization, you don't need to visit government institutions in person. Seafarer document verification is done online. You need to visit the website of the State Service for Maritime and Inland Water Transport of Ukraine — https://marad.gov.ua/ua. This convenient electronic platform offers 2 verification methods:

• quick search;
• extended verification.

Quick Search

This option is suitable for seafarers who want to verify their documentation quickly.

How to Use Quick Search

Go to the "Quick Search" section, select the required document type, enter its serial number and date of issue. Then click the "Make Request" button. Once the system finds the source confirming legitimacy, you will receive a link and can download it in PDF format.

Extended Verification Form

If the document could not be found through quick search, you can use another method — the extended verification form.

Step 1: Create a Personal Account

Create a personal account or log in to the "Verification" section.

Step 2: Submit a Request

Submit a verification request by entering all necessary data and attaching a scanned copy of the required document.

Step 3: Receive Results

Receive the request results in your personal account or via email. Possible statuses include: "valid", "invalid", "rejected".

Please Note!

The legitimacy of each document must be verified separately.

New-format documents can also be verified by scanning the QR code with a smartphone. If online verification was unsuccessful, you should contact the Shipping Administration for manual verification.

Summary

Now you know how seafarer verification works. Keep your documents in order, follow our advice — and your brilliant career will be guaranteed. Remember: the best way to create the future is to predict it!
